4. Source of data

Data mainly comes from you, your representative or the organisation appointing AXPRO. It may also come from a property manager, owner, tenant, insurer, expert, building manager, partner or advertising platform where you requested contact.

5. Required information

Fields marked mandatory are needed to process the request or carry out the assignment. Missing information may prevent AXPRO from responding, preparing a quotation, arranging an appointment, accessing the premises or properly performing the intervention.

6. Recipients and service providers

Data is accessible only to people who need it for their role. Depending on the circumstances, it may be shared with:

  • AXPRO collaborators and technical service providers.
  • Website hosting, WordPress and Elementor providers and the Complianz consent manager.
  • Email, calendar, storage and office services, including Google and Brevo.
  • Management, CRM and automation tools, including Notion and Make.

  • Accountants, banks, payment providers, insurers, experts, property managers or professional advisers.
  • Bailiffs, lawyers, debt collection companies, mediators, courts or competent authorities where necessary.

Some providers act as processors on AXPRO’s instructions; others may act as independent controllers for their own obligations. Their own privacy policies then also apply.

7. Transfers outside the European Economic Area

Some technology providers may process data outside the EEA. Where applicable, AXPRO seeks to ensure that transfers rely on a GDPR-recognised mechanism, such as an adequacy decision, the EU–US Data Privacy Framework where applicable, or standard contractual clauses with appropriate safeguards.

8. Retention periods

AXPRO retains data only as long as needed for the relevant purposes, then deletes or anonymises it, except where required by law or for the defence of legal claims.

  • Requests without an intervention: generally up to 24 months after the last contact.
  • Customer files, interventions, reports, photographs and contractual exchanges: up to 10 years after the assignment where needed for evidence, follow-up and liability management.

  • Technical and security logs: generally up to 12 months, except where an incident requires longer retention.
  • Cookies: as stated in the Cookie Policy and consent module.

9. Security

AXPRO implements reasonable technical and organisational measures against unauthorised access, loss, alteration, disclosure or destruction. These include limited access, protected accounts, updates, backups and providers offering suitable safeguards.

No system provides absolute security. If an incident presents a risk, AXPRO takes the required measures and makes any legally required notifications.

10. Your rights

Under the conditions set out in the GDPR, you may request:

  • Access to your personal data.
  • Correction of inaccurate or incomplete data.
  • Erasure where legal conditions are met.
